Pocket-CFO/ Pocket-Advisor
Private beta
Know where your business stands without reading a balance sheet.
Pocket-CFO answers the questions every owner asks — how much cash do we have, what is our margin, how long is our runway, are we growing — in plain English, every morning. It works from the books you already keep in QuickBooks, Xero, Sage Intacct, Zoho Books, FreshBooks, or Wave, so there is nothing to migrate, and it calculates every figure itself, to the cent. AI explains the numbers; it never does the math.
Pocket-Advisor gives accountants, bookkeepers, and fractional CFOs the same answers across every client they serve. One portfolio ranks your clients by what needs attention, board packs go out under your firm's name, and clients share their books with you by invitation — and can take that access back at any time. What you see for a client is exactly what its owner sees, down to the cent.
- Every figure calculated to the cent
- AI explains the numbers, never does the math
- Reads your books, never changes them
Features
Connect and get started
- Connections for QuickBooks, Xero, Sage Intacct, Zoho Books, FreshBooks, and Wave are built and tested. Each one switches on as that provider grants production access.
- Pocket-CFO only reads from your accounting system. It never creates, changes, or deletes anything in your books.
- A short setup wizard: name your company, then connect your books, import figures from a spreadsheet, or explore with twelve months of sample data.
- Sample data is labeled everywhere it appears, clears in one step, and is never mixed with a company's real books.
- If a company keeps its books in more than one system, overlapping months are never added together unless you declare that the books consolidate.
Your numbers, every morning
- A diary entry at 8:00 AM in the time zone you choose: the day's figures, what changed since the day before, and the recommendations open that morning.
- A short CFO note explains what moved, what to watch, and what to ask your CPA, your fractional CFO, or your lender — written by AI only from figures Pocket-CFO has already calculated.
- Look back at any earlier day, or filter to the days that changed, carried a brief, or have your notes.
- Add the context the numbers cannot know, and email any entry to your accountant or advisor, with or without your notes.
- A monthly CEO brief for any period, assembled from your calculated figures, to review, approve, and download as a PDF.
- Scheduled briefs go to your advisor contacts daily, weekly, or monthly, and alerts warn you when runway or cash falls below a line you set.
Figures you can check
- Cash, margin, burn, runway, and growth are calculated in whole cents, the same way every time, so the same books always give the same numbers.
- Open a figure on the dashboard to see the accounts behind it — and whether they add up to the total.
- When your books cannot support a reliable runway figure, Pocket-CFO says so instead of guessing.
- A data confidence score shows how completely your accounts are mapped, and a review queue lets you move any account into the right category.
- Your mapping choices always win: a later sync never overwrites them, and saved snapshots keep the figures they were calculated with.
Plan ahead
- Runway in days, with a verdict of healthy, watch, or critical and a twelve-month cash forecast.
- Test a hire before you make it: enter the salary and overhead, and see your runway before and after.
- What changed compares this month with last month and names the biggest drivers of each movement.
- Forecasts three, six, or twelve months ahead, and scenarios for changes in revenue, expenses, and hiring.
- Monthly budgets by line, typed in or imported from a spreadsheet, with budget-versus-actual variance.
- A library of 100 KPIs across finance, sales, projects, inventory, and workforce, plus custom KPIs built from your own categories and figures.
- KPI tiles you design — a number, a trend, or a bar chart — compared with last month, last year, your budget, or a target.
Ask, track, and share
- Ask Pocket-CFO questions about your numbers in plain English. Answers draw only on figures Pocket-CFO has already calculated.
- Rule-based alerts flag what needs you: runway under six months, a slipping gross margin, a spending spike, a stale sync.
- Tax estimates built from a profile and assumptions you control, with planning ideas to take to your CPA.
- A compliance calendar generated from your industry, showing what is due, what is overdue, and where you stand overall.
- MEC planning tracks premiums on cash-value life insurance against the seven-pay limit you supply.
- Invite your team as admins or members. An invitation works only for the email address it was sent to.
Pocket-Advisor for your practice
- One portfolio ranks every client — worst runway first, then stale syncs, then open recommendations — so the client at the top is the one that needs you today.
- Firm-wide alerts list every open recommendation across your clients, most severe first.
- Board packs in a click for the clients your firm holds directly. A pack is refused if any figure in it did not come from the calculation engine.
- Your firm's name, color, and footer on board packs and on the brief PDFs and emails your clients receive.
- Partner and analyst seats: partners see every client, analysts only the clients assigned to them.
- Clients share a company with you by invitation — read-only access to its dashboard, snapshots, and forecasts — and can revoke it at any time.
- A referral link for your practice: a business that signs up through it can share its first company’s books with you in one step.
Why you can trust it
Pocket-CFO calculates every figure in its own code, in whole cents, the same way every time. AI is used only to put those figures into words. It is given summaries of numbers already calculated — never your raw ledger or your credentials — and a brief that cites anything it was not given is thrown out and replaced with one written without AI.
Every account uses two-step sign-in with an authenticator app, and the database itself refuses requests that have not completed it. Each business's data is kept apart in the database, accounting credentials are encrypted before they are stored, sensitive actions are recorded in an audit trail that cannot be edited or deleted, and your browser's Global Privacy Control signal is honored.
Version updates
These are private-beta builds: the service that syncs your books and writes the morning diary is not live yet, and nothing is in the App Store or Google Play. Numbered versions are the version of record; changes since 0.20.0 are listed as dated beta updates.

Clients share their books with their advisor
- A client can share one company with an advisory firm by invitation, giving read-only access to its dashboard, metric snapshots, and forecasts, and can revoke it at any time.
- Invitations can be accepted only by the email address they were sent to, so a forwarded link is useless to anyone else.
- Brief PDFs and emails a practice sends now carry the practice's name, color, and footer, not just its board packs.
- In a firm that uses seats, a member without a seat sees no clients until given one.
- Security hardening: separation between businesses is now enforced by the database on every signed-in request.
- The cookie consent banner now appears before sign-in, along with accessibility fixes across the public pages.
